Hiring a Vestaboard for your event is easy peasy flippin’ breezy.

You bring the occasion. We’ll bring the conversation starter.

A warm welcome. A perfectly timed announcement. A message that gets the whole room laughing.

VestaHire brings the distinctive movement, sound and personality of a Vestaboard to weddings, celebrations, corporate events, conferences, TV productions and shoots. Here’s how we bring it all together.

1. Tell us what you’re planning

Start with your date, venue and a little about your occasion. Let us know how many boards you’re considering, how long you’ll need them and what you’d like them to do.

2. Check availability and confirm your booking

We’ll check availability and provide a booking summary covering your hire, delivery and collection arrangements, any additional charges and the hire terms.

Once everything is agreed, accept the terms and complete your hire payment to confirm your booking.

A separate security bond applies. We’ll explain this before you pay and arrange it closer to delivery.

3. Make it yours

Now for the words.

Plan welcome messages, announcements, quotes, congratulations or something wonderfully unexpected. Prepare your content ahead of time and schedule messages to suit the moments that matter.

For weddings and interactive events, you can also invite guests to contribute through our messaging app. Choose whether messages need approval before appearing, and nominate someone to manage them.

Heartfelt, helpful or a little cheeky — you set the tone.

4. We deliver and get you ready

Before the day, we’ll confirm the practical details with you: venue access, board placement, power and connectivity, delivery and collection times, and your nominated contact.

We’ll deliver, set up and test the boards, then show your contact how the messaging works.

For conferences, TV shows and shoots, tell us about your run sheet, production schedule or specific display requirements so we can plan around them.

5. Let the messages do their thing

Welcome your guests, mark the big moments and give people something to gather around.

Your boards can display prepared messages throughout the event, with guest contributions added if you’ve chosen that option. Guests simply scan your event’s QR code and submit a message from their phone — no account required.

With approval switched on, your nominated moderator decides what appears. A useful role when the best man discovers the QR code.

6. We collect and wrap things up

At the agreed time, we’ll collect the equipment and complete our return checks.

We’ll then finalise the hire and arrange release or refund of the security bond in line with your booking terms.

FAQs

Yes. We need to set the Vestaboard up with easy access to a standard power plug. We’ll provide extension cords if needed.

Yep. Vestaboard needs the internet to work its magic. If your venue doesn’t have wi-fi, we can hotspot it to your phone or another internet source if you have one. (But stable wi-fi is highly recommended.)

Nope. Like Gremlins, Vestaboards hate water. We need a location that’s indoors (or under cover out of the weather). Marquees are fine but open paddocks won’t work.

Nope. We want everyone to be safe, so once we’ve set up the Vestaboard in your preferred spot, you won’t be able to move it. If you really need to move the Vestaboard during your event, talk to us about having one of our operators on site to move and reset.

Our standard delivery zone covers most of metropolitan Melbourne. If you need delivery outside this zone, get in touch. We deliver and set up Vestaboards at events Australia-wide. Talk to us about options and pricing.

Vestaboard has many content options, including:

  • Custom content – you send us everything you want to display. We program it to run during your event and give you full control to pause, stop and change the content during your event.
  • Live messaging – using a custom hashtag, your friends and family can send live messages to display on the Vestaboard. You can nominate a moderator to accept or reject each message (because no one wants to see what Kevo has to say after a few too many, right!)
  • Channel content – you can choose from our many Vestaboard channels to send automated content throughout the event like live news updates, stock market tickers, weather, or niche content.
  • Content support – if you’d prefer us to take care of your content, talk to us about pricing to create or moderate your content for you.

 

Vestaboards content options are almost endless. We’ll send you easy-to-follow instructions to walk you through the details of how to DIY your Vestaboard content.

 

No. Vestaboard is designed for text and simple graphics using text and coloured pixel flaps. While it can’t display photos, you can get creative with patterns or icons to convey your message. Talk to us for innovative ideas about how to display your message on the board.

We’ll send you easy-to-follow instructions to help you put your Vestaboard content together. If you’re having trouble, you can email us with questions, and we’ll be happy to help you out.
